CMS asset policy
Allowed file types
The following file types are allowed in the /documents folder of the CMS
- .txt
- .tsv
The following file types are allowed in the /pdfs folder of the CMS
The following file types are allowed in the /images folder of the CMS
- .jpg
- .jpeg
- .png
- .svg
Other file types
File types not listed above (including .doc, .ppt, .xls) are not allowed to be hosted in the CMS.
Units that need to provide access to additional files types such as videos, Adobe Creative Suite files, PowerPoints, etc. should host those files types elsewhere (ÁùºÏ±¦µäBox, YouTube, etc.) and link to them from their webpage.
Linking to assets from the CMS
PDFs
PDFs hosted in the CMS must be verified as accessible on beta before being published to production.
If you are linking to a PDF that is created and maintained by the University, it must be hosted in the CMS and verified accessible by SiteImprove. Links to PDFs on other University servers or hosting services are not permitted.
Other documents
Other document types not hosted in the CMS but created and hosted by the University must be accessible. Any University-created documents that are available from a link on your website, even if it links to content that is behind a login, must be accessible.
Documents not hosted in the CMS and not created and maintained by the University may be linked; web page creators should consider including a statement such as “This page contains links to 3rd party content. If you experience any issues accessing the content, please contact {provide appropriate contact information here].”
Linking to ÁùºÏ±¦µäBox folders
Links to ÁùºÏ±¦µäBox folders from the University website must meet the following requirements:
- Any University-created documents that are available from a link on your website, even if it links to content that is behind a login, must be accessible.
- ÁùºÏ±¦µäBox folders cannot contain PDFs, even if they are behind a NetID login. Units that host PDFs in ÁùºÏ±¦µäBox folders will need to share those links internally.
- Word documents, Excel files and other file types hosted in ÁùºÏ±¦µäBox must be accessible. It is the responsibility of document creators to make their files accessible.
Unit-based visual identifiers
Due to brand practices and accessibility issues, the CMS currently does not support the use of print-based visual identifiers on the website. For questions regarding identifiers, contact the Digital Strategy team at cms@unr.edu.
