Facilities services' responsibility

Facilities Services is tasked with tracking and managing all projects that are performed on the University Campus. Project managers will work with the departments to manage the projects from start to finish and Facilities Accounting will track the project along the way.

Departments' responsibility

Departments work with their assigned project manager. Sign and fill out the project charter given. Make sure to enter all of your account information, including cost center and work tag. If a grant account, please provide the expiration date. In rare cases, if a project charter is not given, then fill out an Internal Purchase Order (IPO) form with your account information. Leave selling department information blank. All State funds received for a project need to be completed by the end of the fiscal year (June 30), or the funds will be returned and new soft funds will need to be deposited. Facilities Services Accounting will process the journal voucher within the work tag to deposit the funds. If any funds remain at the completion of a project, Facilities Services Accounting will process a journal voucher to return unused funds back the department. Facilities services' responsibility

Facilities Services is tasked with managing the administration of fuel cards through Pilot Thomas Logistics (Thomas Petroleum) for the purchase of fuel in University-owned vehicles, with the exception of University police vehicles. All University vehicles have access to fuel pumps located at any Commercial Fueling Network (CFN) station nationwide. If a driver should have any issues with the card while attempting to fuel a vehicle while at a pump, call the toll-free number supplied on the back of the fuel card to reach a representative immediately. They will be able to reset the pump so fueling can commence.

Drivers' responsibility

Fuel cards are issued for each vehicle and must be secured at all times. PIN numbers are issued to individual drivers and are not to be shared with anyone. University fuel cards are for official University business only. Any other use is considered theft of University property.
